Document management for small CPA and tax firms, on Windows. Your files stay ordinary PDFs and Office files in ordinary Windows folders, and Vibe Files adds browsing, intake, OCR, full-text search, PDF tools, versions, an audit trail, retention and legal hold, and optional two-way sync to your own Backblaze B2 bucket.

Cabinet
Point it at the folder that holds your client folders, on this PC (C:\Clients) or on a share (\\server\share\Clients). Existing folders are indexed where they are; nothing is moved.

Intake
The document-filing engine from Vibe Filer Desktop runs inside Vibe Files as the Intake tab, routing incoming PDFs into the right client folder.

Scanning
TWAIN scanning is built in, so documents go straight from the scanner into the cabinet.

OCR + search
Tesseract OCR (English) is bundled. Every document becomes full-text searchable.

PDF tools
Viewer with annotations, form filling, and page tools — no separate PDF editor required.

Versions + undo
Every change keeps a version, and the last folder import can be undone in one click.

A record of who opened, filed, changed, or moved each document.

Retention schedules by document type, with legal hold to stop disposal when it matters.

Client import
Import the client list from your tax software as CSV. Taxpayer IDs keep the last 4 digits only — full SSNs and EINs are never copied in.

Folder import
Scan an existing client tree: each folder is matched to a client by ID or name with a confidence score, and files get a doc type and tax year where the name says so.

B2 sync
Optional two-way sync to your own Backblaze B2 bucket. Files are encrypted on your PC first, with a key only your firm holds.
